Sunlight Assessments UK Ltd ("we", "us") provides daylight and sunlight assessment reports for planning applications. This policy explains what personal information we collect, why, and your rights under UK data protection law (UK GDPR and the Data Protection Act 2018).

What we collect

Information you give us:

When you use our online quote calculator: your name, email address, phone number, the property address and postcode, and your answers about the property and project.
When you contact us by email, phone or our contact form: your contact details, the contents of your message and any plans or files you send.
If you become a customer: details needed to prepare your report and invoice you.

Information collected automatically (only if you accept cookies):

Usage data from cookies and similar technologies, including pages visited, links and buttons clicked, how you found us (for example a Google search, an advert, an AI assistant or another website), device and browser information, and interactions with our quote calculator.

Why we use it

To provide our service — preparing quotes and daylight/sunlight assessment reports, and communicating with you about them (legal basis: performance of a contract, or steps taken at your request before a contract).
To follow up enquiries — if you start a quote but don't finish, or request a quote, we may contact you about it (legal basis: legitimate interests in responding to enquiries about our services).
To improve our website and advertising — we use Google Analytics and Google Ads conversion tracking to understand how visitors find and use our site and which advertising leads to genuine enquiries. This may include sharing conversion information (such as an advertising click identifier) with Google. We may also use Microsoft Clarity to see anonymised heatmaps of how pages are used (legal basis: your consent, given through our cookie banner).
To send occasional emails to businesses — such as architects and developers, about our services (legal basis: legitimate interests). Every email includes an unsubscribe link.
To keep records — accounting, tax and legal obligations (legal basis: legal obligation).

We do not sell your personal information.

Who we share it with

We use trusted service providers to run our business, who process data on our behalf:

Google (analytics and advertising measurement)

Make and monday.com (workflow, contact forms and customer records)
Webflow and Netlify (website and quote calculator hosting)
Ideal Postcodes (address lookup)
GoCardless and our bank (payments)

Some providers may process data outside the UK; where they do, transfers are protected by appropriate safeguards such as UK adequacy regulations or the International Data Transfer Agreement / standard contractual clauses.

Cookies

When you first visit, a banner asks whether you accept cookies. If you choose Reject, we do not set analytics or advertising cookies; Google may still receive limited, cookieless signals (such as that a page was viewed) to help model overall traffic. If you choose Accept, we use cookies for Google Analytics, Google Ads measurement and, where enabled, Microsoft Clarity. We also store your cookie choice, and details of how you first reached our site, in your browser so we don't ask again. You can change your mind at any time by clearing this site's data in your browser, and you can opt out of Google Analytics at tools.google.com/dlpage/gaoptout.

If you arrive on our website from one of our emails and accept cookies, Brevo (our email provider) also records which of our pages you visit and links those visits to your email address, so we can follow up with information that is relevant to your project. If you reject cookies, this does not happen. You can unsubscribe from our emails at any time using the link in every email.

How long we keep it

Enquiries and quotes that don't proceed: up to 2 years, then deleted.
Customer records and reports: 6 years after the work completes (legal and tax requirements).
Analytics data is retained per Google Analytics settings and is aggregated or anonymised where possible.

Your rights

You have the right to: access the personal information we hold about you; ask us to correct or delete it; object to or restrict our processing; withdraw consent at any time; and receive a copy of your data in a portable format. To exercise any of these, email info@sunlightassessments.co.uk.
